Many Paying Guest (PG) and hostel owners in India operate their businesses informally. They use paper notebooks, Excel sheets, and casual WhatsApp chats to track when rent is due. While this might feel cost-effective when managing 10 to 20 beds, it becomes a major bottleneck as you expand.

1. The UPI Screenshot Verification Time Sink

In India, direct UPI transfer is the preferred payment method. While convenient, it creates a massive administrative headache. Tenants send WhatsApp screenshots of completed transactions, forcing managers to open their bank statements and verify that the money actually arrived. In large PGs, checking dozens of screenshots daily leads to fatigue, missed entries, and internal errors.

2. Rent Leakage and Unrecorded Dues

If you don't have a centralized ledger, tracking who has paid what becomes chaotic. Tenants check out early, deposits are deductions are calculated wrong, or partial payments are forgotten. This 'rent leakage' directly cuts into your monthly net profit margins.
